Thank you for choosing Selara Africa. We specialize in designing exceptional tailor-made and small group journeys throughout Africa. These Booking Terms & Conditions (the “Terms”) form the legally binding agreement between Selara Africa LLC (“we”, “us”, “Selara Africa”, or “Company”) and every traveler (“you” or “traveler”).
IMPORTANT — PLEASE READ CAREFULLY. These Terms affect your legal rights and include, among others, an Assumption of Risk, Release and Waiver of Claims, Limitation of Liability, an Indemnification obligation, Governing Law, Venue and Waiver of Jury Trial provisions. By paying a deposit, confirming a booking, or traveling with Selara Africa, you acknowledge that you have read and understood these Terms and knowingly and voluntarily agree to be bound by them.
Our RoleSelara Africa acts solely as an independent travel organizer and booking intermediary. We arrange accommodations, safari lodges, charter and scheduled flights, transportation, guides, excursions, cruises and other travel services supplied by independent third-party providers. These suppliers remain solely responsible for the services they provide and operate under their own terms and conditions.
Booking ConfirmationA booking is confirmed only after Selara Africa accepts the reservation, receives the required deposit, and issues written confirmation. Until confirmed, all pricing, availability and itinerary details remain subject to change. Selara Africa reserves the right to decline any booking. Travelers are responsible for reviewing travel documents immediately upon receipt and reporting any errors.
Booking Requirements and ResponsibilitiesThe person making the booking confirms that they are at least 18 years of age, have the authority to enter into this agreement and accept these Terms, and have provided accurate and complete information for every traveler in their party. If you are booking on behalf of others, you further warrant that you have authority to accept these Terms on behalf of each traveler in your party, that you have shared these Terms with them, and that you are responsible for your party’s obligations under these Terms, including payment. You act as the primary contact and agent for your party for all payments, changes, notices and communications, and Selara Africa may rely on your instructions. You agree to indemnify Selara Africa against any claim arising from your lack of such authority.
Payment TermsA non-refundable deposit equal to 20% of the total itinerary price is required to confirm a booking. Certain specialty arrangements may require larger deposits or full payment. Unless otherwise stated, final payment is due no later than 75 days prior to departure. Bookings made within 75 days require full payment at the time of booking. Failure to pay may result in cancellation.
PricingPrices are based on costs, exchange rates, taxes and supplier pricing applicable at the time of quotation. Prior to final payment, prices may change due to supplier increases, currency fluctuations, government taxes, fuel surcharges or circumstances beyond our control. After final payment, prices are fixed except for legally required government or tax increases, supplier-imposed surcharges, fuel surcharges or currency fluctuations, which shall be the responsibility of the traveler. Selara Africa reserves the right to correct any pricing errors or omissions at any time, including after a booking is confirmed.
Changes Requested by the TravelerRequests to amend confirmed travel arrangements are subject to availability and cannot be guaranteed, and, where accepted, are subject to an administrative change fee plus any supplier charges. Certain changes may constitute cancellation and rebooking and may attract cancellation penalties.
Cancellations & RefundsAll cancellations must be submitted in writing and are effective only upon Selara Africa’s receipt. Cancellations received more than 75 days before departure will forfeit the 20% non-refundable deposit. Cancellations received within 75 days of departure are 100% non-refundable unless otherwise stated on the booking confirmation or required by applicable law. Refunds, if applicable, will only be processed after Selara Africa has recovered refundable amounts from suppliers, and shall be net of Selara Africa’s non-refundable service fees and any amounts not recovered from suppliers. Travel insurance premiums and other non-refundable supplier charges are not refundable. All refunds are subject to individual supplier terms and conditions, which may supersede Selara Africa’s stated policy, particularly regarding non-refundable items or supplier-specific cancellation penalties.
Travel InsuranceComprehensive travel insurance is mandatory for all travelers. Coverage should include, at a minimum, trip cancellation, trip interruption, emergency medical expenses, emergency evacuation and repatriation, baggage loss or delay, and personal liability where available. Proof of insurance may be required prior to departure as a condition of participation, and travelers who fail to provide it may be refused participation without refund or compensation. Selara Africa shall have no liability for any loss, cost or expense that would have been covered by adequate insurance, and travelers who fail to obtain such coverage do so at their own risk.
Travel Documents & Entry RequirementsTravelers are solely responsible for obtaining valid passports, visas, vaccinations, health certificates, and any other documents required for entry into or transit through the countries visited. Passports should generally be valid for at least six months beyond the completion of travel and contain sufficient blank pages. Selara Africa is not responsible for denied boarding, entry or re-entry resulting from incomplete documentation.
Air TransportationUnless expressly included, airfare is not included in the itinerary price. Airline schedules, routings, aircraft types and baggage allowances are controlled exclusively by the operating carrier and may change without notice. Travelers should not purchase independent air tickets until receiving written confirmation of their itinerary from Selara Africa. Airline tickets remain subject to the carrier's fare rules and cancellation policies.
Accommodation & Itinerary ChangesHotels, safari lodges, camps and other accommodations are confirmed subject to availability. Where operationally necessary or beyond the Company's control, Selara Africa reserves the right to substitute comparable accommodations or services of similar standard without liability or compensation. Minor itinerary adjustments may be made to improve operations, accommodate weather, park regulations, safety considerations or supplier requirements without constituting a material change or entitling the traveler to any refund or compensation.
Supplier ResponsibilitiesSelara Africa carefully selects its travel partners but does not own, manage or control airlines, hotels, lodges, camps, transportation companies or other suppliers, none of which act as agents of Selara Africa. Selara Africa makes no warranty or representation regarding any supplier or the services it provides. Accordingly, neither Selara Africa nor its officers, directors, employees, agents, representatives or affiliates (collectively, the “Selara Africa Parties”) is responsible for the acts, omissions, negligence, insolvency, bankruptcy or failure of any supplier. Each supplier's own terms and conditions apply to the services they provide. Travelers acknowledge that, except as otherwise required by applicable law, their sole and exclusive recourse for supplier-provided services rests with the applicable supplier.
Force MajeureSelara Africa shall not be liable for any delay, cancellation, alteration, loss, damage, injury or additional expense arising from events beyond its reasonable control. These include, but are not limited to, natural disasters, severe weather, wildfires, floods, earthquakes, disease outbreaks, pandemics, government actions, border closures, airline disruptions, labor strikes, terrorism, war, civil unrest, supplier insolvency, transportation failures, or any other event that prevents or materially affects the operation of the itinerary. Where practical, Selara Africa will endeavor to provide suitable alternatives; however, additional costs resulting from such events shall be the responsibility of the traveler unless otherwise required by law. Any refund in these circumstances will be limited to amounts Selara Africa is able to recover from suppliers, net of non-refundable service fees and unrecoverable supplier charges, consistent with the Cancellations & Refunds section.
Health & Fitness to TravelTravelers are responsible for ensuring they are medically fit to participate in their itinerary. Any medical condition, mobility limitation, pregnancy, dietary requirement, allergy, or other circumstance that may affect travel should be disclosed before booking. Selara Africa will make reasonable efforts to communicate special requests to suppliers but cannot guarantee they can be accommodated. Travelers remain responsible for carrying all required medications and complying with destination health regulations.

SELARA AFRICA MAY, AT THE TRAVELER’S EXPENSE, ASSUME THE EXCLUSIVE DEFENSE OF ANY SUCH CLAIM USING COUNSEL OF ITS CHOICE, AND NO SUCH CLAIM SHALL BE SETTLED WITHOUT SELARA AFRICA’S PRIOR WRITTEN CONSENT.
Traveler ConductAll travelers are expected to conduct themselves in a respectful and responsible manner throughout their journey. Selara Africa and its suppliers reserve the right to refuse participation or remove any traveler whose behavior endangers others, disrupts operations, violates local laws, damages property, or adversely affects the experience of fellow travelers. In such circumstances, no refund or compensation shall be payable, and the traveler shall be responsible for any resulting costs, including without limitation any loss arising from the traveler’s failure to participate in prepaid travel or events.
BaggageTravelers are responsible for complying with all airline and charter baggage restrictions. Many safari flights require soft-sided luggage with strict weight limitations. Excess baggage storage, transportation or repacking costs are the responsibility of the traveler. Selara Africa accepts no responsibility for loss, theft or damage to baggage or personal belongings, whether in transit or during the journey.
Photography & Marketing ConsentUnless a traveler notifies Selara Africa in writing before departure, the traveler grants Selara Africa a perpetual, irrevocable, worldwide, non-exclusive, royalty-free and sublicensable right to use photographs or video taken during the journey, including the traveler’s image and likeness, for promotional, editorial, social media, website and marketing purposes without further compensation, notice or approval. Travelers may opt out by providing written notice before travel.

Electronic CommunicationsThe traveler consents to receive booking confirmations, invoices, travel documents, itinerary updates and other communications electronically by email or other agreed electronic means. Electronic communications satisfy any legal requirement that communications be provided in writing where permitted by law.
Governing Law & Dispute ResolutionThese Terms and any dispute arising from them shall be governed by the laws of the State of Florida, without regard to conflict of law principles. The parties agree that any legal proceedings shall be brought exclusively in the state or federal courts located in Florida, unless applicable law requires otherwise, and each traveler irrevocably consents to the personal jurisdiction and venue of such courts and waives any objection based on inconvenient forum. To the fullest extent permitted by law, each traveler agrees to bring claims only in an individual capacity and not as part of a class or representative action, and waives any right to a trial by jury. In any dispute arising from these Terms, the prevailing party shall be entitled to recover its reasonable attorneys’ fees and costs.
NoticesExcept where these Terms specify another method, all notices to Selara Africa must be given in writing and sent by email to
[email protected]. Notices are deemed received on the date of confirmed email delivery or, if mailed, five business days after posting. Selara Africa may give notice to the traveler using the contact details provided at the time of booking.
MiscellaneousThese Terms constitute the entire agreement between Selara Africa and the traveler and supersede all prior communications relating to the booking. If any provision of these Terms is held invalid, illegal or unenforceable in whole or in part, that provision shall be modified, limited or reformed only to the minimum extent necessary to make it valid and enforceable while giving maximum effect to the parties’ original intent, and if it cannot be so modified, it shall be severed; in either case, the remaining provisions shall continue in full force and effect. Any waiver of a provision shall not constitute a continuing waiver. Provisions intended by their nature to survive completion or cancellation of travel shall remain in effect, including without limitation the Assumption of Risk, Supplier Responsibilities, Limitation of Liability, Indemnification, Photography & Marketing Consent, Privacy & Data Protection, and Governing Law & Dispute Resolution provisions.
